The Opportunity

We’re looking for a proactive and reliable Workplace Coordinator to support daily operations at our NYC office. Reporting to our Workplace Manager, you'll help ensure our five-floor hub runs smoothly, stays well-stocked, and is always ready to welcome team members, guests, and the broader Solana community.

This is a highly collaborative, hands-on role for someone who thrives in a dynamic environment and enjoys making things run smoothly. You'll be the go-to person for keeping our office humming - from managing day-to-day logistics and supporting guests on our co-working floor, to overseeing supply ordering and restocking, coordinating vendor deliveries, and helping prepare the space for team gatherings and community events. If you’re energized by thoughtful details, comfortable juggling multiple small moving pieces, and ready to jump in wherever needed, you’ll fit right in.

What You'll Do

Daily Office Operations:

  • Manage the front desk: greet visitors, manage building access, and field general inquiries.

  • Provide badge access and conference room booking support (via OpenPath, Skedda, etc.).

  • Perform daily walkthroughs to keep all shared spaces clean, organized, and guest-ready.

  • Receive and distribute mail, packages, and deliveries.

Facilities & Supplies:

  • Own office supply and pantry restocking - track inventory, place orders, and keep things tidy.

  • Handle basic troubleshooting for equipment like printers, Zoom Rooms, or coffee machines.

  • Coordinate with external vendors and building staff for regular deliveries and repairs.

  • Keep storage areas organized and accessible.

Co-Working Floor & Guest Support:

  • Be the main point of contact for co-working guests—ensure smooth access, answer questions, and maintain a welcoming environment.

  • Assist in setting up workstations or meeting rooms as needed.

  • Help maintain clear signage, resource availability, and basic hospitality for members and visitors.

Event & Meeting Support:

  • Assist with setup and breakdown of events, workshops, and ecosystem activations.

  • Support the community and workplace teams on event prep, space readiness, and vendor coordination.

  • Ensure the space transitions seamlessly between everyday use and event configurations.

Team & Admin Support:

  • Coordinate daily lunch orders and manage distribution.

  • Water rooftop and indoor plants during the spring/summer months.

  • Support the Workplace Manager with ad hoc tasks, special projects, and process improvements.


What You Bring

Required Qualifications:

  • 2–3 years of experience in office coordination, facilities support, admin, or hospitality roles.

  • Must be local to NYC and able to be in the office Monday through Friday during normal office hours

  • Excellent organizational and communication skills.

  • Friendly and professional demeanor with a strong service mindset.

  • Hands-on approach—you’re not afraid to roll up your sleeves and dive into logistics.

  • Familiarity with tools like Google Workspace, Slack, Zoom, and basic AV equipment.

  • Ability to lift/move items as needed (e.g., for events or deliveries).

Nice to Have:

  • Experience in coworking spaces or supporting events.

  • Familiarity with NYC vendors and suppliers.

  • Interest in tech, startups, or web3.

  • A light design sensibility or eye for creating polished, usable spaces.
